Administrative Assistant/Veterinary Receptionist (C'mouth & W'ton)

Our fiercely independent, progressive, six-centre mixed practice on the quiet western edge of the Lake District seeks an Administrative Assistant/Veterinary Receptionist to join our friendly admin team.

You'll be the welcoming face of Millcroft Vets, providing excellent client care whilst supporting the smooth running of our busy veterinary practice.

We are a proud XLVets practice, recent winners of XLVet's "Inspirational Teams", with a varied caseload across small animal, farm, and equine work.

The beautiful Lake District National Park is on our doorstep and presents a wealth of opportunities for wild-campers, walkers, horse riders, kayakers, runners, mountaineers, climbers, paragliders, wild swimmers, and even skiers.

The Details

Full-time position: 38 hours per week

Branches: Primarily based between Cockermouth and Workington

Possession of a full driving licence is essential

Salary: Competitive, dependent on experience

About the Role

As an Administrative Assistant/Veterinary Receptionist, you'll be at the heart of our practice, ensuring our clients and their pets receive the best possible care from the moment they contact us.

Your key responsibilities will include:

  • Greeting and welcoming clients with sincerity and empathy
  • Answering telephone calls and responding to client enquiries confidently and effectively
  • Booking appointments using our practice management software (Robovet)
  • Dispensing medicines accurately and providing guidance to clients
  • Dealing with emergencies in a calm and efficient manner
  • Recording client details and taking payments in accordance with practice procedures
  • Responding to emails and assisting with client mailings
  • Organising and maintaining accurate records
  • Scanning and attaching documents, auditing delivery notes and invoices
  • Supporting veterinary surgeons as requested
  • Other administrative duties as required

What We're Looking For

Essential skills and experience:

  • Excellent communication skills – able to convey information clearly and demonstrate effective listening
  • Experience answering and dealing with phone enquiries
  • Ability to multitask – carrying out different tasks simultaneously and working effectively during busy or stressful periods
  • Strong IT skills – ability to use Word, spreadsheets, email, and willingness to learn Robovet and other software
  • Team player – works collaboratively, offering support to colleagues to achieve common goals
  • Problem-solving approach – focusing on solutions rather than problems
  • Experience of administrative duties – able to learn and follow organisational systems and processes

Desirable:

  • Animal care experience – working with clients, animals, and within the veterinary environment
  • Accounts/bookkeeping experience
